Position Summary:
The Assistant Building Manager will assist with the management and administration of operations for the School of Medicine facilities. Responsibilities include, but are not limited to building maintenance, responding to and managing emergencies, security & safety coordination, surplus management, key control, recycling/waste management, space management. This person will be responsible for supporting preventive maintenance and renovation projects for the School. The Assistant Building Manager will also help coordinate new faculty office and lab space needs, along with departmental office and lab moves. This position will report to the Operations/Building Manager.
Core Responsibilities:
Building Management & Maintenance - 25%
- Conducts building maintenance that will require checks daily, weekly, monthly and
quarterly. - Systems checks to include but not limited to HVAC, lighting/electrical, plumbing, structural, landscaping/hardscaping, security, recycle/refuse removal, housekeeping and other issues as they arise.
- All deficiencies will be reported via Facilities Self Service or coordinated with appropriate VCU department.
- Schedules maintenance on all SOM equipment under service contracts such as autoclaves, glasswashers and ice machines
- Handle building emergencies (e.g. leaks, electrical issues)
- Work with housekeeping management and housekeepers to ensure properly cleaned buildings.
- Facilitate, coordinate and respond to maintenance requests within 24 hours or better.
- Coordinates with VCU Physical Plant to conduct evaluations and repairs to SOM buildings.
- Provides timely feedback to customers concerning work in progress and project completion.
- Reports incidences that may impact SOM operations directly to supervisor.
- Provides notice to staff and building occupants as needed. Maintains accessible presence to receive questions and concerns from staff, students and visitors.
- Works with VCU PD and VCU Safety and Risk Management to establish effective security and fire safety standards for all SOM buildings in order to safeguard staff and assets from the risk of injury or loss.
- Conducts security and risk assessments as needed or required. Maintains two or more Fire Evacuation Coordinators per building and designates areas of refuge.
- Aids and assists first responders as needed.
- Works with the VCU Card Office and VCU PD to maintain building locking schedules and card access.
- Provides support in Identifying areas requiring renovations and major repairs and coordinates with VCU Physical Plant.
- Coordinates with renovations staff, contractors and internal customers as needed to avoid unnecessary impact to SOM operations.
- Maintains electronic/paper data and documentation required to fulfill role including but not limited to staff directories, key inventories, SOPs, equipment inventories, personnel files and other items as required.
Excellent customer service, flexibility and verbal communication skills are paramount.
Knowledge of physical plant maintenance and methods of construction, plus a general knowledge of various trades are essential.
Demonstrated ability to work independently with little supervision. Interpersonal skills to work cooperatively and effectively with others.
Demonstrated ability to exercise professional discretion and confidentiality. Strong time management skills and ability to manage a variety of tasks and complex project competently and accurately.
Ability to anticipate needs without being given detailed direction.
Effective project management skills.
Ability to work collaboratively with a variety of faculty, staff, students, and external customers within in a diverse academic environment is necessary.
Proficiency in Microsoft Office products (Word, Excel, PowerPoint, Outlook).
Several years of successful experience in maintaining and operating buildings and associated utility systems.
High school diploma or GED or equivalent experience and training.
Virginia Driver's License required.
