Residential & Hospitality Services is one of 18 departments reporting to the Division of Business Services. Consistent with the Business Services mission, our underlying philosophy is to provide our clients with high quality services in a fiscally responsible manner. Residential & Hospitality Services is a group of dedicated, innovative, and student-centered staff that oversee the on-campus living and dining, as well as conferences, programs and events hosted at Penn. The team works closely with other partners to provide students and guests with services that support living and learning at the University of Pennsylvania.
The Department of Residential Services is responsible for administering housing-related services to the 13 College Houses and Sansom Place (graduate and undergraduate housing). Residential Services' on-campus living options span across Penn's 262-acre campus. Residential Services works closely with other partners to provide students and guests with services that support living and learning in the University residences
Job Description
The Assistant Director of Building Operations is a full-time position responsible for events, unit-wide documentation, and initiatives for the Building Operations group. Areas of responsibilities to include taking the lead on Move-In, Move-Out, and other Residential Services involved events, planning and implementation of the student employee and full-time employee training and development programs, managing the room and building access policies, and serving as the primary departmental point person related to emergency response and recovery from facilities emergencies. Provides backup support in the absence of a Building Administrator managing up to 3 residential buildings.
The Residential Services operation is a 7-day week, 24 hours per day endeavor including all University Recognized holidays. As such, this position is considered essential personnel, is a live-on role with an apartment on campus and participates in an on-call duty rotation.
Job Responsibilities
- Manages emergency response for group across campus. Responsible for leading continuity planning for the Building Operations group, schedules and manages emergency exit and shelter in place drills, manages “return to room” process for all displaced students, and coordinates all follow-up and communication during the restoration period of rooms after flood, fire, and similar disaster events.
- Leads the Building Operations section's staff development program for full time and student employees working with Residential Services Managers,
- Develops a comprehensive student staff training program, both at the organization and building level. Working with Assoc. Director - Building Operations develops training and on-going development plan for Residential Services Managers and Building Administrators.
- Provides Coverage for missing Building Administrators i.e., Act as primary liaison to resident faculty, staff and students for maintenance, housekeeping, extermination, safety, security, evacuation drills, mail/package delivery, general building operational and response to facilities emergencies including damage assessment, service to affected parties, claims processes, and clean up.
- Owns the process related to planning, procedures, and processes for events that impact the Building Operations group.
Qualifications
- A bachelor's degree is required and 3 years to 5 years of experience or equivalent combination of education and experience.
- Requires experience in facilities related services in a university or large residential complex or an equivalent combination of education and experience.
- Must have knowledge and experience with building systems and infrastructure.
- Demonstrated excellent communication skills, both oral and written, including the ability to collaborate effectively with a diverse constituent group is required. Must have strong organizational skills and ability to manage multiple projects at same time.
- Competency with variety of computer applications: word processing, spreadsheets, data base, web applications required.
- Demonstrated supervisory experience preferred. Ability and experience working independently while engaging resources across multiple work functions to help achieve goals.
- Ability to multi-task and function at a high level in fluid and evolving conditions and environments.
- Familiarity with service provision in a university environment is desired.
Targeted Pay Range
$51,824.00 - $80,000.00 USD Annual
